Good organization starts with a simple routine.

This sample lesson covers an administrative workflow. Your carrier’s actual recordkeeping obligations depend on its operation and applicable requirements.

01. Give each document a clear home.

Group records by purpose. For example, keep registration documents, quarterly mileage and fuel source records, and correspondence in clearly labeled folders. Use a consistent file name with the date and document type.

02. Keep source records together.

A worksheet helps organize information, but it does not replace the documents behind it. Keep the original records supporting a filing or report, and flag missing information for follow-up.

03. Read the next step, not just the headline.

A report marked “Action recommended” needs your attention. Review the notes, ask what is needed, and confirm whether the work is included in your service or requires a separate authorization. Monitoring alone does not complete a filing.

1. What does an organizing worksheet replace?
2. Your monthly report says “Action recommended.” What should you do?
3. Which file name will be easier to identify later?
